When you're trying to complete an order but simply cannot gain access to the delivery location—and the customer isn't responding to messages—it helps to know your options. Every situation is different, and you have the operational flexibility to decide the best path forward for your business.
Immediate On-Scene Steps
If you're currently at one of these barriers, use these quick steps immediately to assess the situation and get your customer's attention:
Make your presence known: Send a message to your customer in the app and knock on any available doors, or ring the building bell if you can safely access it.
Look for an attendant: Check to see if a live attendant, gate guard, or front desk agent is available, as they may have an alternate means to contact your customer directly.
Verify the location and deadline: Quickly review the address and delivery deadline to ensure you've arrived at the correct spot within the contracted delivery window.
Check the message history: Scroll back through your in-app chat history to see if the customer previously sent an access code, gate protocol, or special instructions.
Your Next Move: Assessing Your Options
If you've completed the on-scene steps and the customer remains completely unreachable, you have the flexibility to decide how to handle the delivery based on the situation. You do not need to wait for approval to make an executive business call on the ground.
Option 1: Utilizing Safe Alternative Spots
Many delivery locations, such as apartment complexes, condos, or hotels, offer secure alternative drop-off points if you cannot reach the customer's front door. You can make an executive decision on-scene if you find a location that provides a safe solution:
Look for staffed areas: Front desks, lobbies, leasing offices, or secure package rooms are excellent options if you can speak directly with an attendant.
Consider gated perimeters: If it’s a private residence with a locked gate and you feel the area is safe, placing the laundry at the base of the gate may be a viable choice.
The rule of thumb for alternative spots: If you choose to leave an order in an alternative location, it is highly recommended to take a thorough delivery photo that clearly illustrates exactly where the bags are resting.
Label your bags clearly: To safeguard the order, make sure every delivery bag is clearly marked with the word Poplin, the customer's name, and their order number. If someone else encounters the bags first, they will know exactly how to contact us so we can trace the order back to your customer.
Note: While you do not need prior approval to utilize a safe alternative spot, notifying Concierge via a quick message is highly recommended. When you let us know, we can document the details on the order file and directly call or email the customer so they know exactly where to find their clean clothes.
Option 2: Holding the Laundry for Redelivery
If there is absolutely nowhere safe to leave the bags—such as an open sidewalk on a busy street or a heavily trafficked public area—then leaving the laundry unattended might be a risk you prefer to avoid.
You always have the flexibility to keep the order active, secure the bags back in your vehicle, and attempt delivery at a later time:
Coordinate in the chat: You can continue reaching out to the customer directly through the app chat to establish a new delivery time and arrange safe access to the property.
Loop in Concierge: If you choose to retain the laundry for a later attempt once the customer responds, you may end up holding the order past its delivery deadline. By notifying Concierge right away that the customer is unresponsive, we can adjust the order details on the backend. This ensures you won't get flagged for a late delivery, avoids any automated impact on your point standings, and provides an official record of your attempt.
Please Note: The platform does not provide additional financial compensation or extra delivery fees for holding onto laundry or making a secondary trip. However, taking this extra step often earns massive customer gratitude, protects your business relationship with a client, and guarantees the clothes stay completely secure.
Special Circumstance: Handling Extended Business Closures
If your delivery location is a commercial business that has closed for the day, or may be closed for the entire weekend (e.g., arriving Friday evening after hours), then your options are tied to your arrival time:
If you arrived on time: If you made your delivery attempt within your contracted deadline, let Concierge know immediately. We will protect your points and late metrics while helping you facilitate a safe return when the business reopens.
If you arrived late: If you attempted delivery past your contracted deadline, we still recommend contacting Concierge right away, though Concierge cannot prevent the order from being marked late or protect your metrics. However, you may still consider holding onto the laundry to keep it secure, and Concierge can help coordinate a successful delivery when the business is open again.
When None of these Options are Feasible
If you cannot find a safe alternative spot on-site, and holding the laundry for a later redelivery isn't a workable option for you, contact Concierge immediately through the app. If we're within operating hours, Concierge can look at the account details and provide direct guidance on how to proceed so you aren't left guessing on the curb.
Why Timing & Early Communication Matters
The platform is designed to support you when an obstacle blocks your path, but account protection depends on your timeline and communication history. Concierge reviews your in-app chat history to verify the situation.
When you're on time: If you arrive within the customer’s selected 3-hour Premium Delivery Window or before the contractual deadline, choosing a safe alternative spot or connecting with Concierge to protect your metrics gives you maximum flexibility.
If you're running late: If you miss the Premium Window or arrive after the deadline without a specific customer request to do so, leaving laundry unattended outside the proper location carries much higher risk. In these cases, holding the order and coordinating a secure handover may be the safest path for your business.
You can minimize these stressful gate and lobby standoffs on future orders by setting clear expectations early. When a customer knows exactly when you'll arrive, they are much more likely to keep their phone handy and clear a path for you.
Give regular timeline updates: Keep your customer in the loop as you progress. Send quick updates—like letting them know you're wrapping up their order, sending a 30-minute heads-up when you're on the way, or confirming your exact arrival time.
